The PharmStack difference
Special orders shouldn't live on sticky notes
Most pharmacies still have some version of: customer asks → write a note → order later → hope someone remembers. PharmStack gives every order a status and surfaces what needs action today.
See what needs attention before the doors open
- Orders due today
- Overdue arrivals
- Orders not yet placed with the supplier
- Backorders waiting for ETA
- Customer notifications pending
All surfaced on Home and Needs attention, beside tasks, compliance, and everything else due today.
The problem
Stop losing orders between the counter and the supplier
Before PharmStack
- Orders written on paper or sticky notes
- No clear status, logged, ordered, or arrived?
- Staff forget to call customers when stock lands
- Customers calling “is it in yet?”
- Orders missed, duplicated, or lost between shifts
With Special Orders
- Every order tracked with a clear status
- Know what needs ordering and what’s arriving today
- Notify customers from the same screen you manage orders
- Not Contacted tracking when someone still needs a call
- Delivery orders flow into Delivery Lists, no retyping
- Orders surface on Home & Needs attention beside daily work
The lifecycle
Every order has a status
From first request to collected or delivered, nothing falls through the gaps.
- Logged
Customer asks for an item, capture it at the counter in seconds, not on a sticky note.
- Needs ordering
See what still needs to be placed with the supplier, before the end of the day slips away.
- Ordered
Record the order with supplier-aware ETA so everyone knows when to expect stock.
- Backordered
Track backorders separately, waiting for ETA, not lost in the general list.
- Arrived
Mark stock in when it lands. Staff see it immediately, no walking to the back to check a list.
- Contacted
SMS, call, or template message, with Not Contacted tracking when someone still needs a nudge.
- Collected / Delivered
Close the loop. Delivery orders hand off straight to your next Delivery Lists run.
The outcome
Better customer order management
Know what needs ordering
A clear queue of orders still to place, not buried in someone’s notebook.
Know what’s arriving today
Due today, overdue, and backorders waiting for ETA, visible before staff start asking around.
Notify customers quickly
Arrival SMS, call workflow, or Quick SMS for several customers at once, without leaving the order screen.
Hand off to delivery
Mark for delivery and add to the next scheduled run. No retyping between counter and driver.
Track request to collection
Every order has a status and a history, from first request through to collected or delivered.
Customer communication
The workflow is the hero. SMS is one tool.
Arrival notifications, calls, collection reminders, and Quick SMS all sit inside the order workflow, so staff stay focused on the order, not the communication channel.
- Arrival SMS when stock comes in
- Collection and delivery templates
- Call workflow with Not Contacted tracking
- Quick SMS for one-off or bulk customer messages
- Message history alongside each order
Everyday workflow
Built for how pharmacies actually work
Add orders in seconds
Name, phone, product, and ETA at the counter, fast enough to use while serving the next customer.
Supplier-aware ETA
Record expected arrival dates that stay visible to the whole team.
Collection vs delivery
Track how each customer wants their order, pickup, delivery, or post.
Home & Needs attention
Orders don’t disappear after they’re logged. Due today, overdue arrivals, backorders, and orders still waiting to be placed surface on Home & Needs attention alongside the rest of the day’s work.
